Xactimate Software Training – How to Use the Staircase Tool

When using Xactimate to create a staircase there is really only one option – the stair case tool. This tool looks like an easy tool to use until you really get into things. Then you realize that the simple little tool is actually very complex due to all of its components!

So let’s look at how to use the tool. Once you have a room in place and you want to add a staircase there is one major thing to remember. A staircase cannot be placed inside of a room. Xactimate recognizes a staircase as a separate room so you must think of this when constructing the room that has a staircase in it. Once you get past this, the tool makes much more sense and things get easier.

From one stand point the last statement is true. You select the staircase you want from the drop down list and then just drop it on area where you want it. This holds true for about ninety percent of the estimates you write.

Once you select the staircase from the drop down menus and place it in your drawing, don’t think you are done just yet. You must consider the rest of the components involved with a staircase. Does the stair case go up between two solid walls, does it have a balustrade, does it have a partial wall, is the ceiling slope or boxed, what are the tread depths, how many risers are there? I think you get the point. Any of these factors can change the entire deal.

Remember, it’s not just a matter of selecting a staircase and dropping it in place. The first steps actually begin when you are out in the field doing your inspection. Don’t forget to get all the measurements. So if you have to actually replace a staircase using Xactimate don’t forget about all the other aspects, especially when you are doing your scope.

A Trained Workforce Completes the Compliance Cycle

William was a stellar employee. He completed tasks ahead of time and with a zeal not exhibited by his peers. William was on the fast track to climb the career ladder and receive ever increasing responsibilities. William was a shining example that leaders of other departments coached to. His performance was going to be replicated and spread across the company.

It was with great regret that Chief Compliance Officer of the company had come to a fateful decision. She weighed carefully the success that William’s performance brought to the company’s bottom line with the penalties that could be levied against it from compliance violations. Federal, state, and municipal fines at minimum could mire the organization into financial and legal penalties. The brand image and reputation for quality, fairness, and stellar products could be devastatingly damaged. William’s failure to comply with the company’s compliance procedures – while seemingly successful – were going to result in his termination.

It is more often than not, that employees make decisions, while trivial and not malicious, lead to their termination. Many times those decisions could have been avoided if the employee fully comprehended the policy they violated. With changes to sections, constant legal updates, and not to mention the overall size of some policies it can be easy to see why employees do not take the time to comprehend what is required of them. Yet, as the old saying goes, ignorance is no defense in the face of violating a law.

The FDA requires that employees of any medical device or pharmaceutical company have to be trained on the regulations and compliance standards that are pertinent to their jobs. Sale representatives of pharmaceutical companies have to be trained on how to communicate their products benefits and features while remaining “on label”, for example. A representative that fails to follow that compliance standard can bring legal and financial penalties to themselves and the company.

Many companies understand the need to have corporate documents that speak to the policy and procedures that will keep them in compliance. Those same companies have invested money into electronic systems to control that documentation through a document management/control software system. Having all the documentation stored in a controlled repository is one step in the compliance process. All the well written policies, procedures, and work instructions do not mean anything unless an employee who executes them can comprehend them. Comprehension completes the compliance cycle.

When looking for a system to conduct the comprehension training a number of factors should be considered:

1. How easy is to manage?

a. Does it require a full time administrator?

b. Does it require intensive effort for upkeep?

2. How is the training tracked?

3. How is comprehension tested?

There are more, but the three above are paramount in any decision, especially if the choice is a software system.

When making a selection for software to deliver the employee training take into consideration the labor involved to manage the actual system. If a training software system is labor intensive on the back end, it is also most likely labor intensive on the end user. If a training software system cannot seamlessly track back to your documents, then you could be finding yourself on a path of complexity.

All the training that is being tracked should be quickly obtained when needed by the company. A record tied to the employee as they progress in their careers is important for them and for the company when compliance is concerned. If that same record can track back to the actual document in the same repository the better.

Understanding how your employees’ comprehension is tested is important. Being able to track an monitor the success/failures of questions asked during testing can be correlated to the failure of compliance. The ability to configure any comprehension testing as needed when conditions change is financially better for a company and allows for agility over stock or custom methods. Any solution that is chosen should allow the company to quickly measure the success of the testing method.

Comprehension is keystone to compliance. Without it a company places itself at risk.

I thought this book was helpful, but is not in depth enough to really help with my situation. It is well written and deals with issues other than the one I am looking at personally, but I am sure others will find it helpful.

Hiring and Training the Right B2B Telemarketers

An extremely important aspect of your profitable B2B telemarketing is locating and taking on the best people. It’s not as if you can just put someone on the phone with expectations of good results. Once understanding the main objectives of your telemarketing efforts, you’ll need to take the specific role that telemarketers will play into the equation. You will want to assess the abilities and personalities which are required to fulfill the role and meet each overall objective. Ask yourself these questions:

- Do these telemarketers have an adequate background and knowledge?

- Will you mandate that they’re familiar with Microsoft Office or the CRM software they’ll be using?

- Should they already be expert at the time of hire, or will you quickly train them?

- What are the minimums candidates will need in terms of skills and traits?

- Does the job require high energy, task-oriented, or easy-going people?

- Will you require certain levels of professional maturity from these telemarketers?

- Is it imperative that they understand how to prevent and solve problems?

Locating Candidates

It is first necessary to start with the correct candidate pool. Recruiter ads which are written well can be found at one of the plethora of online recruitment sites such as monster.com, careerbuilder.com and jobs.com. It’s also possible to create a list of open positions with the university career center and senior citizen center in your area. It’s possible to place inexpensive ads describing the open positions on (cable) TV or radio, even buying spots which are seen before the feature movie begins at the local cineplex.

Also be aware of service-people at the restaurant, supermarket, and theatre. These people’s friendliness and articulate ways are often traits which are translatable and useful in telemarketing. I also recommend that you think about awarding a fee to staffmembers if their lead to a new telemarketer is successful. This is known at the end of a 90-day period for training and probation. A Better Hiring Process

Instead of first asking for resumes as you most likely would for other types of positions, ask potential telemarketers to phone in to a special number. Make certain the call is immediately directed to voicemail, with an outgoing message that describes your business and the position – then asks the called for their name and number, offering a minute or two for them to let you know why they’re the right person for the position. Just taking time to listen to the candidate speaking on the message machine, and they way they ’sell themself’ is a great indicator of who will make the cut and proceed to the next step.

Deduction

Conduct phone interviews from those who leave a good impression with you from their voice message. Keep an ear out for those who ask questions about the business, the industry and what you will expect from them on the job. Those who are thoughtful enough to ask tend to be the kind of focused self-starter that you’ll need to get leads generated on the telephone. The best of them aren’t simply going from the script but are instead trying to carry on a conversation. Good skills at listening and questioning are better than those who simply deliver the pitch. The remaining candidates who still are impressive can be asked to send in a resume along with a cover explaining why they’re the right person to hire. This allows you a chance to take a closer look at their background to find out if they can write as well as they can speak on the phone. Then, schedule final interviews in-person with your top screened finalists.

Training

The leading way to prevent frustration and failed phone marketing effort is to make investments in proper training. Training programs give your new workers the necessary skill and confidence to find success in a variety of situations. The amount of training that they need depends on both the sort of telemarketing they’ll be doing and their experience in the past. Included in the basics of training are industry info, and the history of the role of your company and that of your competitors. Then talk about your products and services, providing a good description as well as the potential benefits to those who may decide to purchase. Telemarketers require good knowledge of pricing and the sales process which they are a part of.

Spend the time to show them the best and most effective way to apply the software system to the needs of the job. Take time to discuss company policy, responsibilities, and what you will expect from them. Set some targets for call volume, and number of sales per week or month to make it easier for new telemarketers to compare their performances and better budget their time as a result. At the end of the day, finding and retaining the correct people is the premiere way to drive the successes of your B2B marketing program.
